Commercial Lease Abstraction

A purchasing guide to buying a workflow that reads commercial leases and amendments and prepares an abstract in your template, with each value linked to its page for your lease team to check.

What should it abstract?

Turn a lease and its amendments into your abstract template. Check cited values and open questions instead of reading every page.

Maximum document size: 80 pages per lease.

Your lease team approves every abstract. No rent changes, notices or legal advice.

What is included

Read executed leases and amendments, fill your abstract template with page citations, apply amendments to the current value and list conflicts and missing items.

Start with executed leases and amendments, your field list and lease-administrator-checked examples. The connected option loads approved abstracts into your lease system; it does not change rent charges or send notices.

How accurate should the abstracts be?

A complete-looking abstract is not enough. Choose how often critical values must be right, how many critical dates it must find and which conflicts it must flag.

How these standards are measured

Test on held-out leases your team has abstracted, including scanned copies and amendment chains. Measure critical fields and critical dates separately. A value without a supporting page, or an amendment that is ignored, is a failure.

Targets for your selected standard
What is checkedTarget
Critical fields correctA field passes only when its value matches the lease as amended, in the agreed format. Missing output counts as wrong.≥97%
Critical dates foundCorrectly found expiration, renewal, termination and rent-change dates divided by all dates labelled by your lease team.≥98%
Conflicts and gaps flaggedCorrectly flagged conflicting clauses, missing exhibits or pages and unclear terms divided by all labelled issues.≥90%
Values with a supporting pageEach value links to the page and document version that supports it; an unsupported value fails.≥99%

An abstract is a summary for operations, not a legal interpretation. Check critical dates and rent figures against the cited pages before relying on them.

How quickly do you need each abstract?

Choose how quickly a lease should be ready for review. Your lease administrator's checking time is separate.

Timing details

Time from accepting a complete lease file to a stored draft abstract, including text recognition, extraction, amendment checks, queueing and retries. Confirm the page count and hardware with your provider.

The target applies to at least 95% of agreed test runs, with 2 in progress at a time.

How much do you want to spend per lease?

Choose the machine budget for reading pages and drafting the abstract. Tighter budgets may read fewer pages twice.

Cost details

Includes text recognition, model calls, retries and shared hosting allocation. Lease review time, lease system subscriptions and the calling agent are separate. Failed and repeated runs also consume resources.

Reference machine cost: $1.08 – 2.08 per lease at 40 leases a month. The selected cap is a target to test, not a replacement for this estimate.

Reference workload: 80 pages per lease.

Where do you want it to run?

Keep leases in your cloud or on your own server. Choose whether lease pages may go to an approved AI service.

Data and access details

Runs in a cloud account you control, with access controls and logs.

Only the lease pages being abstracted go to the selected external model. Agree access and retention first.

Restrict access to authorised lease folders and keep tenant contacts out of model requests where possible. No external calls uses local text recognition and private inference; it cannot use the connected lease system option.

How do you want to use it?

Use a review page, your current AI agent or a dedicated lease agent. You can choose more than one.

Anything else your provider should know?

Optional. Your choices are included automatically.

Common questions

Do I need this if a lease abstraction service already exists?

Not necessarily. A per-lease service may be cheaper for a one-off project. Buy a workflow when you abstract leases repeatedly, need your own template and environment, or want to call it from your own agent.

Does an abstract replace reading the lease?

No. It is a cited summary for operations. Your lease team checks critical values and asks counsel when a clause needs legal interpretation.

Can it handle scanned leases and many amendments?

Yes, if you include them in the test set. Poor scans, handwritten changes and missing exhibits are flagged for review rather than guessed.

Can it load abstracts into our lease system?

Choose the connected scope. Confirm your system's import or interface access and test environment with the provider first.

Can I run it without an external AI service?

Yes. Choose private processing and supply your own hardware. Measure accuracy and running cost during the pilot.
