What should the submittal review cover?

Check product data, missing documents and proposed substitutions against the agreed spec sections. Get a review sheet with references and draft comments.

One submittal includes up to 40 pages of product data or shop drawings.

Your reviewers decide the action and sign the response. It never approves or rejects a submittal, applies a stamp or sends a response.

How reliable should the review sheet be?

A review sheet is useful when it reads the requirements right, catches what is missing or substituted and does not bury your reviewer in false flags. Choose a target for each.

How these standards are measured

Test on held-out past submittals whose review comments are known, including substitutions, missing data sheets, wrong standards and clean submittals. Measure requirements read correctly separately from deviations found and from flags your reviewers reject. A finding without a spec paragraph and submittal page counts as a failure. Use independent reviewer labels, not the workflow's own output. Holding every item cannot pass the accuracy targets. Check citations against the current source version. Any unauthorised write or release fails the pilot.

The review sheet prepares a decision; it is not the decision. Your reviewer reads the findings, edits the draft response and chooses the action under your contract.

How quickly should a review sheet be ready?

Choose how soon after a submittal arrives the review sheet and draft response are ready. Your reviewer's time is separate.

Timing details

Time from receiving the submittal to a finished review sheet, including reading the pages and the matching spec sections, model calls, queueing and retries. Very large shop drawing sets may need agreed limits. Confirm volume and hardware with your provider.

The target applies to at least 95% of agreed test runs, with 3 in progress at a time.

How much do you want to spend per submittal?

Cost details

Includes model calls, page reading, retries and a shared hosting allocation. Project management system licences, your reviewers' time and the calling agent are separate. A resubmittal is another run.

Reference machine cost: $0.48 – 0.68 per submittal at 200 submittals a month. The selected cap is a target to test, not a replacement for this estimate.

Common questions

Does it approve submittals or apply our stamp?

No. It prepares a review sheet and a draft comment. Your reviewer chooses the action, signs the response and applies any stamp, as the contract requires.

Can it handle shop drawings, not only product data sheets?

It reads drawing pages as images and checks the notes, dimensions and schedules that relate to spec requirements. Dense drawings should be part of the test set, and anything it cannot read is marked not shown for your reviewer.

What happens with a substitution?

It marks the product as a substitution, cites the spec paragraph on products and substitutions and notes whether a substitution request is in the package. Whether to accept it stays with your reviewer and the design team.

Do I need this if my project management system already offers submittal AI?

Not necessarily. If that feature reads your specs well enough and your documents may stay in it, use it. Buy a workflow when documents must stay in your environment, you need a private model or your review conventions do not fit a packaged tool.
