Start with sample orders, your product catalog, customer order guides and units of sale, checked by your order desk. The connected option reads catalog and customer data from your ERP and enters approved orders; it does not change prices or contact customers.

How accurate should the draft orders be?

A fast draft is only useful if its lines are right. Choose how often lines must be right, how many unclear lines it must flag and how many orders need no edits.

How these standards are measured

Test on held-out customers and order weeks. Score every line for product, quantity and unit of sale. Vague names, substitutions, missing quantities and unknown items must be flagged; a guessed line counts as an error.

Check quantities and units of sale with rules, not model judgement. A line with the right product but the wrong pack size is an error.

How quickly should a draft be ready?

Choose how quickly a draft order should be ready after the order arrives. Your order desk's review time is separate.

Timing details

Time from receiving the complete message to a stored draft, including transcription, reading attachments, product matching, queueing and retries. Confirm order size and hardware with your provider.

The target applies to at least 95% of agreed test runs, with 2 in progress at a time.

How much do you want to spend per order?

Choose the machine budget for reading an order and matching its lines. Tighter budgets may use smaller models or fewer checks.

Cost details

Includes transcription, model calls, retries and shared hosting allocation. Staff review, ERP licences, phone and mailbox services and the calling agent are separate. Failed and repeated runs also consume resources.

Reference machine cost: $0.03 – 0.05 per order at 2000 orders a month. The selected cap is a target to test, not a replacement for this estimate.

Common questions

Do I need this if customers can already order through our online portal?

Not necessarily. If most customers already order through your portal or app, the remaining manual orders may not justify a workflow. Buy one when email, text, photo and voicemail orders still take order-desk time.

Will it confirm orders or talk to my customers?

No. It prepares drafts and flags unclear lines. Your order desk decides, contacts the customer and approves the order.

Can it handle customer nicknames for products and different pack sizes?

Yes, if you supply customer order guides, item aliases and units of sale. Lines it cannot match are flagged rather than guessed.

How is this different from an ordering platform subscription?

A platform runs in its vendor's service on its own terms. This workflow runs in your environment with your catalog and order guides, and your team owns and changes it.

Can I run it without an external AI service?

Yes. Choose uploaded orders with private transcription and inference on your own hardware. Measure the quality and running cost during the pilot.
