UK charity accounts, Gift Aid and expenses

Project brief

Engagement for a small charity registered in England or Wales. The charity needs annual accounts and the relevant annual return, Gift Aid support, and bookkeeping for approximately 51–200 expense transactions. The provider should review the available records first and agree the reporting period, transaction date range, filing scope and applicable deadlines with the charity before starting. Provide work for review by the charity; do not submit filings or make material changes to charity accounts without the charity’s approval.

Deliverables & acceptance

What you'll deliver

  • Prepare or review annual accounts for the reporting period agreed after reviewing the charity’s records, and identify the relevant regulator annual return and its filing scope.
  • Provide Gift Aid claim support for the agreed period, including a list of required records, identified gaps and draft claim information or documentation as applicable.
  • Categorize and reconcile approximately 51–200 expense transactions for an agreed date range, and provide an exception list for unclear or unsupported items.
  • Provide a written schedule of applicable annual accounts, regulator-return and Gift Aid deadlines, explaining the basis and any assumptions after reviewing the charity’s financial year-end and relevant records.

What the result must meet

  • The provider has relevant UK charity-accounting experience and identifies their relevant professional status or qualifications accurately.
  • Before substantive work begins, the provider and charity agree the reporting period, expense date range, applicable filing(s), and any records or information still needed.
  • Deliverables identify the records reviewed, assumptions, unresolved exceptions and applicable filing deadlines; deadline claims include a clear basis.
  • Accounts, returns and claim materials are clearly marked as drafts for charity review; no filing or material account change is made without the charity’s approval.
  • Expense work covers the agreed transaction set and includes a reconciliation and an exception list.
  • The charity can review the work and request correction of factual or calculation errors within the agreed scope.
